Office Rules
Music:
Keep music at a low volume.
No more than one channel of music playing at a time.
Office Chat:
Make sure that what you say you want everyone to hear, including faculty and staff.
Printing:
The printer in the office is to be used for work related items only. Personal printing is not typically allowed, if need to print small, school related projects ask Jenny for permission first. Anytime you change an ink cartridge, email Wes Enterline: EnterlinWJ03@uww.edu and someone on his crew will come pick it up to get recycled.
Professionalism:
You must wear your name tag while at work.
- You must wear UC apparel and follow UC dress code while clocked in at work.
- When working with clients and building stakeholders make sure:
- To be specific when asking for information and assistance.
- To identify yourself and explain who you are.
- There is an outline of needed information.
- To be prepared, courteous, and polite so meetings and projects are done efficiently and effectively.
- When answering the phone please say “UC Graphics & Marketing this is…..” and always ask to take a message.
- The office must be kept organized. Do not leave papers and drafts of items sitting out on the table or computer. Also, do not leave cutting or “crafting” supplies out on the tables.
- Feel free to put old drafts of work in your binders.
- Consequences:
- If there is continued use of Gmail, YouTube, Twitter, or other web sites, you will not be eligible for your entire raise.
- If the problem persists, it will be discussed in your weekly meetings. If work is not getting done in a timely manner you will forfeit projects and hours will be reduced.
- If you are consistently late or not following office policies, you will not be eligible for a full raise.
Pay Increases:
You are eligible for a raise per semester and an additional raise in the summer.
- To receive a full raise:
- Your work is being completed on time.
- All files are saved in the correct format.
- All files are organized in your folders.
- You are on time to work and are using work time appropriately.
- You go beyond expectations.
- You demonstrate exceptional customer service.
- You use creative problem solving skills to find unique solutions to challenges.
Missing work/changing schedule:
- Semester changes: If you need to make a change to your schedule please let Jenny know two weeks prior to the change taking effect.
- One-time changes: If you’re going to miss or adjust your hours for one or two days let Jenny know the week prior to the change.
- If you are going to be late or are sick you must call/email prior to your shift starting.
- There will be consequences if you do not contact Jenny prior to your shift starting. These consequences also apply to inappropriate work behavior.
- Written warning
- Meeting regarding work policies
- Possible termination
Work Responsibilities:
It is your responsibility to make sure that your work is meeting deadlines. If you need more information, contact the individual who made the request.
- Jenny needs to see your work prior to it being reviewed by a client.
- If you finish work prior to your work hours ending and are in need of a project, it is your responsibility to ask for one.
- Please refer to the handbook for any questions on formatting.
- Each employee is required to have a weekly meeting. If you cannot attend for any reason, please reschedule.
- Weekly meetings are designed to:
- Provide the employee with time to ask questions.
- Make sure that the employee has ample work.
- Solve any problems/issues that occur during the week.
- Get approval/revisions for projects.
Mailboxes, Graphics and Marketing Request Forms. Etc.
- After you clock in, please check the graphics inbox and Trello for updates.
- If faculty/staff approach you for a project, encourage them to meet with Jenny and explain the graphics process to them.
- If an individual approaches you for a project that is not for the UC, inform them that you are unable to create the project. If you are comfortable you may suggest that you do the work freelance for a fee.
- Please view your .pdf, .jpg, or .mov after saving to ensure the sizing is correct.
- Prior to bringing Jenny a project, check the posters in the office to make sure you have completed the necessary steps.
Technology
- The video camera, still camera, computers, audio equipment, and accessories are for work use only.
- You must sign the cameras out (and in) on the sign-out sheets located on the front of the file cabinet.
- Make sure that images and music you use are from royalty-free sites or you have permission to use them.
- When saving to the shared drive, follow guidelines on the instruction sheet (See Shared Drive Section)
