Submitting Events to Campus Master Calendar
*Only enter events on Campus Master Calendar that are open to anyone and located within the UC (not HR workshops or Fairhaven Workshops)
- Go to http://events.uww.edu/MasterCalendar/
- Click on “Add Event” (upper right, directly above the word Saturday)
- Enter in the following information:
- Event Info
- Post Date (leave as is)
- Event Title
- Event URL (typically you’ll link to that department’s page on the UC website, but only if it is up to date with the event information)
- Event description: specify how to sign up, any associated costs (or if free), facilitators name, if there’s catering, limits on numbers of participants, other descriptions, etc.
- Event Contact
- Name (use Kim Adams for all RAG events, Michele Filip for all Entertainment Events, Warhawk Alley Graduate Assistant (use their actual name) for all Warhawk Alley specials, Tournament Coordinator for all WA tournaments)
- Contact Email: Always use a campus email
- Contact Phone: Always use a campus phone number
- Event Group-Priority
- Priority: Leave as medium
- Calendar
- Click “Select Multiple”
- Always choose “Campus Events” and “James R. Connor University Center”
- Choose any other applicable calendars. Some we frequently use are as follows: Diversity, Entertainment, Exhibit & Fairs, Lectures, etc.
- Event Type: Choose applicable event type. Make best guess if needed.
- Location
- Location: Write “UC” and then the room number (ex. UC 266 or UC Hamilton Room)
- Location URL: Leave Blank
- Event Date(s) and Event Time(s)
- Choose either Single Day or Recurrence
- Enter in times. If an event goes until midnight, enter it until 11:59 p.m. to the event going onto the next day.
- Event Image: Don’t worry about adding an image. It’s not worth it.
- Additional Event Info: Don’t worry about it.

- Event Info Gallery exhibits must be entered as a recurrence for M-Th and a separate recurring event for Fridays because the hours open are different (usually 10 a.m.-6:00 p.m. and 10:00 a.m.-3:00 p.m. respectfully.)
- Enter a separate event for gallery receptions in addition to the times the exhibit is open.
- If an event goes until midnight, enter it until 11:59 p.m. to the event going onto the next day.
- Warhawk Alley specials are entered at the beginning of the semester as recurring events.
Submitting Events to Connect UW-W
*Only enter events on Connect UW-W that are open to anyone and located within the UC (not HR workshops or Fairhaven Workshops)
- Go to https://orgsync.com/login/university-of-wisconsin-whitewater
- Sign in with your campus login
- Go to “My Memberships” at the top and click on the University Center
- Click on “Events” at the top within the UC’s profile
- On the right side of the page, it says “Create an Event”
- The information that you add on this page will be the same information you added to the Campus Calendar. Be detailed within the description box.
- Upload a picture if the event already has a graphic made. If it doesn’t, you can leave it blank, but try to come back and upload images as they are finished.
- Under “Participants”, Leave the RSVP section as “no limit” and leave “Everyone” as who can see the RSVP’s.
- “Who Can See This?” – Depending on the event, it will most likely be either public or “UW-Whitewater”. For events such as gallery receptions, movies…etc, it’s public but for events like DU events or Warhawk Alley tournaments, it’s better to leave those just for UW-Whitewater.
- Always request that C&LD includes our events on their calendar for more reach.
- Spell check everything and double check the information before you submit the event.
Submitting Events to UC Events Calendar within Trello
*Only enter events on Connect UW-W that are open to anyone and located within the UC (not Fairhaven Workshops). The Trello calendar we use to update the whiteboard outside the room and to keep track of which events need to be photographed. The reason why TRACK events are included on this calendar is because we photograph those events. Fairhaven events are not photographed unless requested and we do not advertise them.
- Go to Trello.com
- Sign in with your login
- Go to the “UC Event Calendar” board
- Create new cards under the correct month. You do not need to add any other information other than the date, time, and location(comments box). For gallery exhibits, we create a card for the start day, the end day, and the reception rather than a new card each day since they go on for more than two weeks. For movies, you create a card for each day.
- You can view the calendar as individual cards, or you can click on “calendar” on the top right side of the page and it shows it to you as a normal month calendar or a week calendar.
